Who is responsible for the processing of your personal data?

Information we collect and how we use it

We collect various types of information to provide and improve our services to you, including:

• Personal Information: When you use our contact form, we collect your first and last name, work email address, company (if provided), selected enquiry topic, message and consent confirmation so that we can respond to your enquiry. If you contact us by email, we receive the information you include in your message.
• Website analytics: We use Simple Analytics to understand aggregate website activity, including page visits, referral sources, general device information and counts of key actions. Simple Analytics does not use cookies or persistent visitor identifiers and states that it does not store IP addresses. We do not send contact form contents, names or email addresses as analytics events.
• We obtain personal data for specified, explicit and legitimate purposes and will not use it in a manner incompatible with those purposes. Our lawful basis for using your information

Under the General Data Protection Regulation we must have a lawful basis for each purpose:

• Responding to your enquiry — our legitimate interests (Article 6(1)(f)). Our legitimate interest is to respond to a business enquiry that you chose to send us, and to keep a record of that correspondence. Where your enquiry concerns entering into an agreement with us, we may also rely on Article 6(1)(b), taking steps at your request before entering into a contract.
• Website analytics — our legitimate interests (Article 6(1)(f)) in understanding aggregate website activity so we can improve the site. Our analytics does not use cookies or persistent identifiers and does not identify you.
• Email correspondence — our legitimate interests (Article 6(1)(f)) in communicating with business contacts and maintaining our business records.

Where we rely on legitimate interests, you have the right to object, as described below. The fields marked as required on our contact form are necessary for us to reply to you; if you do not provide them we cannot respond to your enquiry.

Sharing Your Information

Netlify hosts our website and processes submissions made through our contact form. Google Workspace provides email services for hello@insurteam.com and handles personal information included in email correspondence with us. Simple Analytics provides our cookie-free website statistics. If you follow a booking link to Calendly, the information you provide there is handled under Calendly’s own privacy policy.

We will only disclose your personal data to third parties if:

• You expressly consent to this;
• There is a legal obligation or permission to do so or if the disclosure is necessary to assert, exercise or defend legal claims;
• The disclosure of data is necessary for the management of contractual obligations with you;
• A merger, acquisition, or sale of our company assets occur resulting in a business transfer;
• Required by law or in response to valid requests by public authorities (legal requirements).

Transfers outside the European Economic Area

Some of the service providers described above are established in the United States, so your information may be transferred outside the European Economic Area. Where that happens we rely on the following safeguards:

• Netlify (website hosting and contact-form submissions), Google (email) and Calendly (meeting booking, if you follow a booking link) each participate in the EU-U.S. Data Privacy Framework, which the European Commission has recognised as providing an adequate level of protection. Where the Framework does not cover a particular transfer, we rely on the European Commission's standard contractual clauses.
• Simple Analytics is established in the European Union and states that it hosts its analytics data in the European Union.

How long we keep contact enquiries

We retain contact enquiries for 12 months.

Data Security
